Work Flow Analysis

Definition: Work flow analysis is the process of analysing the workflow and focus on improvement. By using the work flows business users can obtain processes for optimal efficiency and productivity. Work flow analysis results in automation, repeated tasks and less pressure among team workers. For organizational efficiency, business workers focus on WORKFLOW MANAGEMENT, BPM, BPA that is Business Process Management and Automation. Work flow analysis can tell about the project and its development. Work flow analysis aims at reducing the cost of completing each tasks/processes. Faster Outcomes can motivate the workers to improve their performance.

Steps in Work flow analysis: Corporates should analyse all their workflows. The primary tasks that bring the revenue to the organisation are focused and other supporting tasks are afterwards. Tasks can be prioritized by answering the following questions

  1. What do we do? Answering the question “what do we do?” helps in understanding the organizational core tasks which brings revenue to the organisation.
  2. How do we do it? Answering the question “How to we do it?” helps in understanding what steps are done in order to complete the work. Here every single activity small or trivial should be included.
  3. Why do we do it? Answering the question “Why do we do it?” helps in understanding if you need to perform each step or not. If there is no answer to this question then that step is not included. Example of such activity can be storage of records which doesn’t contribute to the company’s revenue.
  4. What does each department do? Answering this question helps in understanding the what each department of the company is doing. And how the work is flowing from one department to other.

Analysing and improving the work flows: Finding the different workflows or modified existing workflows can make productivity more efficient. Get as much input as possible from the people involved in each process. This will help in estimating the workers are stick to one processes and hence reduce productivity. The more input the people who execute workflows have, the more easily they will accept any changes you decide to make. A effective workflow allows you and your employees to work efficiently and focus on tasks that you and your client needs.
