Project Scope Management Process

Project Scope is defining the goals of the project and what needs to be done to achieve it. The set of processes that ensure the completion and achievement of the project by including all essential information and tools in order to complete in given stipulated time.

Project scoping is done to control and check what is included or excluded in the project. It helps in allocation of tasks as per expertise to the right team member of the project which will help the project to be successfully achieved. This helps leaders, coordinators, project managers, supervisors to keep control for the delivery of the project.

The feature and the functionality of any objective that to be achieved is taken care in project scoping. Along with the work that include the process to deliver the features and functions in the project. The product and project scope runs parallel with proper planning, coordination with the efforts that are infused to achieve the goal.

The process involved in the project scope management are as follows.

  • Collect Requirements- This is the first step towards project scoping. This process defines and documents stakeholder’s requirements to meet the project activities. All documents are collected for the requirements to facilitate the development phase in the project.
  • Define Scope- Detailed description of project and product is documented in this process for the development. So while collecting the requirement list, all different requirements of the project and the resulting product or service are defined.
  • Create WBS- The process of sub dividing project deliverables is defined as Work Breakdown Structure. This technique is used to divide the project into small units or more manageable components for the delivery of the project.
  • Verify Scope- The monitoring and controlling the part of the project which is completed or on going process of development. This is a review process of deliverables with the client or stakeholder’s to ensure the satisfactory opinion towards further development of the project.
  • Control Scope- This is the final step in the project scope. Control scope is the process of monitoring the project’s status and managing changes to the project baseline. This process ensures the requested changes and recommendation for correction are facilitated from integration of change control process.

With the larger and complex projects, project scoping is a necessary process to deliver the final result. With complexities need more time, efforts and resources to reach the goal of the project. It helps to stay focused in the development of the project related to management plan and mindful of the fact that if unexpected event may involve cost of time, efforts, quality, resources also customer satisfaction. Determining the success of the project depends upon the right way of conducting project scope in the beginning of the project along with the information provided by clients and stakeholders.

As a matter of fact that some disruptions always comes in the path of the execution of the project. All this disruptions are the challenges towards the project completion. Thus well-defined project scope avoids problems like

  • Constantly changing requirements.
  • Over spending of the allocated budget.
  • Delay in the project, failure to meet deadlines.

Hence dedicating time to the project scoping for planning, how the time, resources and the goals to be the reached. Along with this efficient flow of communication need to the done while doing scoping. This ensures the consistency of communication between teams and resources for any updates or so. Adjusting to the changes which may arise which may affect the project. Therefore meeting with teams will always be beneficial to the project. When considering minor changes in the project or suggesting suitable solutions, need to be taken care of from client’s perspective. By this process will increase the client’s confidence in the analysis skills. Also the visual representation of the project is necessary so that holistic view is provided to the clients in the form of burn-up charts and story maps.
