Communication with the stakeholders on requirements confirmation

As a business analyst, proper communication required on a variety of initiatives within an enterprise. Initiatives may be strategic, tactical, or an operational. Business analysis may be performed with in the boundaries of a project or throughout continuous improvement. It can be used to understand the state, to define the future state, and to determine the activities required to move from the current to the future state. The BA role is understanding the market demand as well as  understanding the clients needs and to articulate them in a proper way to the tech team.

The two-way communication with in a project  increases understanding, and it also allows us to understand how it can lead policy decisions. However, organizations often struggle with communication with their stakeholder groups due to some factor. miscommunication in the requirement gathering. Improper documentation and failing to define 5 w’s while communicating with the stakeholder , having the wrong person as the representative who lacks the proper communication skills.

During the  elicitation stage it goes beyond planning and conducting elicitation, this extends to the confirmation of the elicitation results for the project, this task  must be done in order to check information obtained during the elicitation sessions , in order to determine the consistency with other information, as well as, discover errors, omissions, conflicts, and ambiguity in advance during the project . when the requirements are collected the BA role will be Confirming if the information is consistent and accurate represented by comparing results collected through the elicitation activities .Compare the information with the sources used for conducting the Elicitation e.g: documents etc. Confirm if this information is consistent and accurately represented by comparing results collected through the elicitation activity . Resolve the differentiation in any there in collaboration with the stakeholders. Compare with historical data for confirming more recent elicitation results of the project.

After the elicitation stage the most important part to setup the communication channels for contacting with the stakeholder to requirement confirmation.

Communication is necessary to all l collaboration and teamwork. Communication keeps a whole organization moving. There are different ways to communicate such as written communication, verbal communication, non-verbal communication and visual communication.

The different communication channel that can be established are:

  1. Face-to-face conversations
  2. Videoconferencing
  3. Audio conferencing
  4. Emails
  5. Written letters and memos
  6. Chats and messaging
  7. Blogs
  8. Formal written documents
  9. Spreadsheets etc.

These are the different communication channels which are very much helpful for communicating with the stakeholders on requirement confirmation. communicating with the stake holder to Ensure stakeholder satisfaction ,the project success isn’t success when the project is completed in time and with in the budget the main aspect meeting the stakeholder expectation. This is a important for any project and not one that should wait until the last minute. Before the production starts , it is important to make sure you start in the right direction. That direction is determined by the end-user, client, or whomever the deliverable is targeting in the project .so understanding the requirement properly and communicating with the entire team in accordance  to the requirements collected is what makes a project successful.
